  • PRIMARY FUNCTION
    • The Administrative Coordinator is responsible for supporting and communicating with the Director Operations Support and the Director of Clinical Services, assisting them in all administrative tasks including but not limited to the creation of forms, execution of official letters and proposals, managing databases and other tasks as assigned. The Senior Administrative Coordinator is responsible for the co-ordination of administrative duties.
  • ESSENTIAL FUNCTIONS OF THE JOB
    • This list may not include all of the duties that may be assigned.
       
    • Support the Director of Operations Support and Director of Clinical Services with all administrative functions involved in the operation of the directors’ responsibilities
    • Maintain records compiling all information into monthly general reports, using data base management tools
    • Receive and direct all correspondence and telephone inquiries quickly and professionally
    • Collection of administrative and operational information on any issue requested by director. Compile reports for distribution.
    • Preparation of manuals and other publications on improved procedures, methods and systems
    • Do correspondence concerning division or department operations
    • Prepare instructional and informational publications on special, monthly and annual reports
    • Maintains rapport with customers, managers and employees by arranging continuing contacts, researching and developing new services and methods, setting priorities, resolving problem situations
    • Identify ways to streamline operational procedures between or within the departments
    • Assist in the coordination of manager’s meetings, departmental meetings and maintain minutes
    • Maintain calendars for directors
    • Organizes travel for directors, support managers and other departments as needed
    • Maintains Out of Practice and Deceased Patient documentation
    • Answer telephone
    • Provides administrative support to office and clinical managers
  • PERFORMANCE REQUIREMENTS
    • Education:
      • High school diploma or equivalent. Some college level training preferred

    • Licensure:
      • None

    • Knowledge, Skills & Abilities:

    • Experience:
      • Previous administrative and clerical experience with well developed communication, problem-solving and interpersonal skills. Advanced knowledge of Word Processing and MS Office Software abilities. Strong organizational abilities to track and monitor statistical information.

    • Adhere to all organizational information security policies and protect all sensitive information including but not limited to ePHI and PHI in accordance with organizational policy, Federal, State, and local regulations.
