The Medical Office Scheduler is an individual who answers, directs calls, and schedules patient appointments. They obtain and verify the completeness and accuracy of the patient’s demographics, insurance while providing excellent customer service. Schedulers are also responsible for verifying insurance plans prior to patient arrival, follow up on patient recalls, view and learn specific providers’ schedule preferences to manage their schedules.

Minimum Qualifications:
* High school diploma or GED equivalent
* Proficient in Electronic Medical Records
* Minimum of 2-years’ experience as a Medical Office Scheduler or Specialist in Pediatric or Family Practice Office-Preferred
* Bilingual in Spanish preferred but not required


Knowledge, Skills & Abilities:
* Knowledge of medical terminology
* Exceptional customer service skills
* Knowledge of documentation skills, general math skills, troubleshooting, resolving conflict, and analyzing information and ability to carry out detailed instructions
* Knowledge of Health Insurance and Portability and Accountability Act (HIPAA)
* Ability to communicate effectively over the telephone and in person
* Ability to work in a fast paced, high volume environment working quickly with ability to multi-task
* Ability to remain calm during stressful situations
* Ability to relate to persons with diverse educational, socioeconomic, and ethnic backgrounds
* Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form
* Proficiency in Microsoft Word, Excel, and Outlook

Essential Functions:
* Answer telephone promptly in a polite and professional manner
* Obtain and enter accurate demographic and insurance information
* Accurately schedule appointments for patients
* Remind patient of copays, coinsurance, or deductible for patient visit. Direct past due accounts to billing department
* Act as a liaison for the patients and the practice in over the phone and in person
* Manage provider schedules for efficient patient flow
* Make reminder calls
* Answer non-medical questions and offer information as requested to provide patient-focused service and a positive impression of the organization
* Backs up Medical Office Specialist and Medical Records as necessary
* Aid with patient portal, recall lists, well visit lists and other special projects as assigned
* Performs other light administrative duties as assigned


Physical Demands:
While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to sit and use hands and fingers, handle, type or feel. The employee is frequently to stand; walk; reach with hands and arms and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision and distance vision.


Work Environment and Work Conditions:
Position is in a well-lighted office and clinic environment. Occasional work on weekends as required. Interacts with staff, visitors, patients, and agencies under all conditions/circumstances. May be exposed to infectious diseases, and conditions. ABCD Pediatrics is a smoke-free, drug free, and alcohol-free campus.
